What is Budget check?
A: The budget check in Workday is a Business Process (BP) that runs upon submission of operations related Requisitions, Purchase Orders, Change Orders. It also processes on all Supplier Invoices that are processed without a purchase order. It compares the submitted transaction line items to the current Forecast (Plan) amounts from BRAINS for each Cost center/Spend Category/Job Title/Outlet on the submitted document. If the amounts are within the available "Budget" amounts, the requisition will process approvals to include the Cost center Manager, Property Finance Approver and/or General Manager Approver. If the any line item on the document is over the available "Budget" amount, the approvals will escalate to the Above Property Spend Approver.
What is the "Budget Check Balance by Spend Category" report?
A: This is a financial report that will show the Forecast (Plan) amounts from BRAINS as well as the balances on the Commitment, Obligation and Actuals ledgers.
The report will be sent through the system to the following Approval Roles in Workday overnight weekly on Monday, Wednesday, Friday:
- Property Finance Approver
- General Manager Approver
- Above Property Approver
*These leaders will share out the report in Excel format to their Cost Center approvers/Department Heads so that they know where they stand.
**Note that this report contains all financial data including sensitive data so access is limited and it is important that users filter out sensitive information prior to distributing to their team members.
Users with Financial Access will also be able to run the report in Workday at any time.
